FACT: Being a wedding planner whose life is on-the-go 24-7, means we’re always looking for ways to save time and make our lives a little bit easier…

Luckily for us, living in the age of the smartphone means we can do just that.

So friends, we’ve put together a list of the latest and greatest top 5 apps that will help you save time, so you can focus on designing more gorgeous weddings like this…

1) GroupMe

One of the keys to being a successful wedding planner is communication. Whether it’s with the bride, the groom, the mother-in-law, the bridal party, you name it. Sometimes it’s not the easiest thing to keep everyone up to date with all the changes that are made and then communicating it out the right folks.

GroupMe is an app which can be downloaded to any iOS, Android or Windows phone or tablet, allowing you to send a group message with everyone involved. The best thing is – it even works through SMS! So don’t worry if some contacts are unable to download the app, they can chat with the group through text instead.

2) Capsule

Have you ever wanted to easily access every single photo taken at a wedding? Now you can! Get everybody to download the Capsule app, all team members and guests included, then all the pictures they take will get uploaded to to the online ‘capsule’. Such a simple way to get a ton of great photos, quickly…TIP: tag your images as “wedding planner: your firm’s name” so your client’s friends know who the planner was!

3) Pinterest

Sure, everybody knows Pinterest is a great place to source the latest creative inspiration – but did you know the app is 1000% easier to use than the desktop version?  Maybe your bride is not 100% sure on what event decor she’d like to see at her wedding. Instead of you going to her with idea after idea, create a collaborative Pinterest board with her as a place for her to pin her ideas and you to share your feedback on what stuff costs and how feasible it is.  Check out how The Simplifiers creates these with their clients. They say ‘a picture speaks a thousand words’ and soon you’ll really get a feel for the kind of style she’d like!

4) Pocket Planner

The Pocket Planner is a free event planning calculator by our DC friends at SocialTables which lets you quickly calculate an average cost of all your food, beverage and staffing needs. This means your clients are able to get immediate estimates for how much their wedding will cost, depending on the decisions they make.  Which basically means, this app makes you look like a math superstar with your client and who doesn’t LOVE that?

All wedding planners have to be organized – organization is part of the job! Wunderlist lets you create to-do lists that you can share with multiple people. It’s a great way to make sure your team members know what left to be done and they can tick it off as they go along! If some of your to-do’s have deadlines, you can even set reminders to make sure it all gets done!

Give ’em a go and see how much time these little techie apps can save you! And watch out for our future Life Hacks blog posts as we aim to help you save time and minimize stress with tips and tools from The Apprentice Program.
